For Author

Q : Do I have to register as a user for every submission?
A : No. If you are already registered as a user for the journal, you can submit manuscripts any time with your user account. However, you need to register when you submit to other journals.
Q : An error message is displayed when I uploaded files to build the PDF, and I could not complete the submission.
A : There is a possibility that the file you tried to upload has security protection. It triggers an error when you upload the file that has security protection, so you should release the protection for the file.
Q : Text layout collapsed or garbled when I tried to build the PDF.
A : There could be multiple possible reasons for the problem.
Text layout can collapse if the paper size you chose for printing is too large, or figures or tables made with Word tools are too large and complex.
If changing the configuration doesn’t fix the problem, please convert the files to PDF using the software you have and upload the PDF files to the system.
Garbling can happen if you use math expressions with Word.
It can also happen if you use a special fonts.
When garbling happens, please convert the files to PDF using the software you have and upload the PDF files to the system.
Q : Does the submission information I entered in the system disappear if I logout in the middle of submission?
A : No. The contents that have already entered are saved automatically.
Q : I have not received any mails from the journal after I finished the submission.
A : There can be three causes.

1. The submission hasn’t been completed
Confirm that the manuscript doesn’t remain in ToDo list on Author main menu. After PDF is built for the submission, you should ckick on [Approve Submission] to complete the submission.

2. Contact method is not e-mail, or e-mail address is incorrect.
Confirm that contact method is e-mail and registered e-mail address is correct.
If contact method is another one, e-mails would not be sent.

3. E-mails are filtered as spam mails.
If you use the spam mail filter, E-mails can be assigned filtered as spam mails depending on the contents of e-mails. Please check the folder for spam mails.

If e-mails from EM are filtered as spam mails, change the setting for spam mail in the mail client software or inquire the network administrator of the mail server.

The mail may be recognized as a spam if there is a difference between the e-mail address described in the header information and the e-mail addresses of Sender or Return-Path.

Please check the following for normal mail header for letters send out from EM system.

From:the e-mail address configured by Journal Office
Sender:(unspecified alphanumeric character)@editorialmanager.com
Return-Path:(unspecified alphanumeric character)@editorialmanager.com

Please check the settings of your mailing soft. Otherwise, please ask the network administrator of the mail server and execute either of the following;
・Register the corresponded e-mail address to the white list.
・Change the settings of your mail software.

Q : I found mistakes in the manuscript after submitting.
Can I revise it?
A : You cannot revise your manuscript when after you submit a manuscript.
You should inquire editorial office by clicking [CONTACT US] on the top of the screen.
Q : What types of file can I upload?
A : You can upload the following types of files.
Editorial Manager supports auto-conversion to PDF for the type of files bellow:

Word,Excel, PowerPoint, PDF, TXT, RTF, TIFF, GIF, JPEG, EPS, Postscript, PCT, LaTeX2e(English only), AMSTex,
Some journals allow another file types. (Ex. movies)

For Reviewer

Q : I can’t go to the EM pages via clicking on the URL link in the mail I received from the journal.
A : If you have already logged in or open Editorial Manager, you should log out and close the page before clicking on the link (Deep Link).
Some journals configure the link to be valid only once or during certain period of time. In that case, you are required to log in with username and password after clicking the link.
Q : I became unable to review even though I agreed to review. How can I cancel my assignment?
A : Reviewers can’t un-assign himself. You should ask Editor or Journal Office to un-assign your review. You can contact them from “Send E-mail” link of the mauscript.

For Editor

Q : I cannot find the reviewer that I want to invite in reviewer’s list.
A : If you couldn’t find the reviewer by the search, the person might not be registered as a reviewer.
If an Editor cannot find a potential Reviewer in the database, or if the Editor knows that a particular person is not currently registered on the EM site, the Editor can Proxy Register that person by clicking on the ‘Register and Invite New Reviewer’ link, can be found on the ‘Reviewer Selection Summary’ page and on the ‘Select Reviewer’ results pages.
In case of the journal not allowing editor to register new reviewer, contact the journal office.
Q : I want to assign the third reviewer though the number of reviews required for a submission is two.
A : Even if the number of reviews required for a submission is two, the editor can assign additional reviewers.
Q : The number of reviews required for an initial submission is two, but I want to assign only “one” reviewer for revisions. Should I alter any setting?
A : Though It depends on journals or article types, required number of reviewers should be changed to 1 in case the default required number of reviewers are set as 2. This number may be changed manually on the ‘Reviewer Selection Summary’ page, via the link at the top of the page.
Q : A reviewer have not yet initiated the review after he accepted the invitation long ago.
How do I un-assign the reviewer?
A : The editor can un-assign the reviewer by clicking “Un-assign” button next to the reviewer’s name on the ‘Reviewer Selection Summary’ page.
Q : Is the mail sent to reviewers different between first review and re-review?
A : No. Both of them are the same. The editor can select the defalt mail for re-review from pulldown list on the page shown after you click on “Confirm Selection and Customize Letters”.
Q : Reviewer's name is recorded in the properties of the uploaded attachment.
How am I supposed to deal with it?
A : The contents on the properties of the attachment are removed when the author downloads the attachment. This function can be done only for Microsoft Office files (Word, Excel and PowerPoint) and PDFs.
Q : Can an editor edit “Comments to Author” written by reviewers?
A : Yes. An editor can edit it on the decision and comments page. The edited comments are sent to the author.
Q : I want to send the review back to the reviewer.
A : An editor can send back a review on “View Individual Reviewer Comments” page.
However, this function can be disabled because of the policy of a publication. In that case, contact the journal office.

For Office

Q : I assigned an incorrect Manuscript Number. Can I modify that?
A : No, you can’t.
The submission will be managed with the Manuscript Number as it is.
Q : I am notified from an author that he / she made a mistake in the submission. What should I do to correct that?
A : It depends on the current editorial status.

[Before Technical Check (New Submission)] You may “Send Back to Author” so that the author can revise it.
Also, you may “Edit Submission” on the Editorial Office Main Menu page.

[After Technical check (After assigned Chief/Editor etc.)] You may “Edit Submission” on the Editorial Office Main Menu Page.
Otherwise, you may uninvited the Chief/Editor to take back the manuscript, and then “Send Back to Author” so that the author can revise it.
Q : I am notified from an author that he / she wants to withdraw an ongoing submission from the editorila process. What should I do to withdraw that?
A : You may withdraw a submission by “Set Final Disposition” from the Action Link. A withdrawal notification letter is no longer sent automatically to assigned editors by initial settings. Please contact them separately by either of the following ways as needed:

・Send letter from the Action Link

・Change the configuration so that the letter is sent automatically.
(1) Create a new letter from:
System Administrator Functions > POLICYMANAGER > Edit Letters

(2) Select the letter for [Final Disposition – Withdrawn] event from:
System Administrator > ACTIONMANAGER > (the role you want to notify) Letters

Q : I am notified from an author with submission for revision that he / she cannot view Reviewer Attachments.
What should I do to enable the author to view the attachments?
A : Please check whether there are any Reviewer Attachments on the Attachment page from [View Reviews and Comments] or [Details] link of the submission.
If there exists, check [Allow Author Access] at the right of the page and click [Save and Close], so that the author can access them.
Q : How can I upload the reviewer’s attachments on his / her behalf?
A : Please receive the file from the reviewer outside of the system. Then, upload the file from [Upload Attachments] button on the Attachment page.
Q : I am worried about whether an author could specify who edited / reviewed the submission from the property information in files attached by editors / reviewers.
A : The contents provided in property information are automatically deleted by system when an author downloads the attachments.
Please note that it works only when the file format of the attachment is Word, Excel, Power Point, or PDF.
Q : I want to grasp the performance of reviewers / editors.
A : There are more than 40 kinds of Reporting features standardly implemented into Editorial Manager. Using them, you may extract various data such as the performance of reviewers / editors.

General

Q : Do I have to register as a user to use the system?
A : Yes. You must register and issue an account on each journal submission site you will use.
Q : What is the system requirement for Editorial Manager?
A : It is recommended that you use one of the following OS and browsers to achieve optimum system performance:
[OS] ・ Windows 7, Windows 8/8.1, Windows 10
・ Macintosh OS X and later
・ Ubuntu Linux 6.06 and later

[Browsers] ・ Internet Explorer 9.0 and later
・ Firefox the latest version
・ Safari the latest version *Macintosh only
・ Google Chrome  the latest version
Q : Is it compatible with tablets (iPad etc.) and smartphones?
A : Tablets and smartphones are not supported.
Q : I cannot login to Editorial Manager.
A : 1. Did you enter your username and password correctly?
You have to distinguish between uppercase and lowercase letters, full-width or half-width characters.
When you enter numbers, don’t use a numeric keypad.
If you forgot your password, please click “Send Username/Password’ in the Login page and you will receive your username and password by email.

2. Are Cookies and Java Script enabled on the browser?
Editorial Manager uses Cookie and Java Script. Please confirm the browser configurations following the steps below.
If Cookie or Java Script is disabled, please enable it.
2.1. Internet Explorer 9.0 or later
[Changing cookie settings] 1. From the [Tools] menu, or the Tools drop-down at the upper right, select [Internet Options] and click the [Privacy] tab.
2. Click [Advanced].
3. Click “Override automatic cookie handling”.
[Checking Java Script] 1. From the [Tools] menu, or the Tools drop-down at the upper right, select [Internet Options] and click the [Security] tab.
2. Click [Custom Level].
3. Under Active Scripting, select [Enable].

2.2. Firefox
[Changing cookie settings] 1. From the [Tools] menu, select [Options] and click the [Privacy] tab.
2. Set “Firefox will:” to “Use custom settings for history”.
3. Check “Accept cookies from sites”.
[Checking Java Script] 1. From the [Tools] menu, select [Options] and click the [Contents] tab.
2. Check the “Enable JavaScript” checkbox under the “Web Content” category.

3. Aren’t you using an unsupported OS or Browser?
The operation of Editorial Manager is guaranteed under the system environments below;

Q : I cannot operate the system after login.
A : Aren’t you using an unsupported OS or Browser?
The operation of Editorial Manager is guaranteed under the system environments below;

・ Ubuntu Linux 6.06 and later

Q : I cannot open the Editorial Manager by clicking an URL in a mail.
A : If you cannot open the Editorial manager by clicking an URL in a mail, please check the following.

1. Isn’t there a line break at the middle of the URL?
Some mail softwares automatically separates long lines by line breakes. In case there is a line break at the middle of the URL, you sometimes cannot open the site by clicking the URL.
Please copy the URL and paste it to the address bar of the browser to access the site.

2. Does the firewall or the proxy server configuration of your institution accept HTTPS connections?
If HTTPS connection is not allowed, please use HTTP address (http://[journal code of your publication].edmgr.com) instead.

3. Does the web borwser start when clicking the URL?
Does it display other sites?
If the web borwser doesn’t start, or if it doesn’t display other sites as well, there may be a problem with the web browser itself. Please try re-installing the web browser.

4. There may be a problem with the network.
Please ask the network manager or IT department of the institution.

Q :I cannot upload a file.
A : If you cannot upload a file, please check the following.

1. Aren’t you using popup blocker of the browser?
Please disable the blocker or popups from Editorial Manager sites.
In case you are using other blocker software, please check its setting.
1.1. Internet explorer 9.0 or later
Select [Pop-up Blocker] from the [Tools] menu and disable the pop-up blocker.
1.2. Firefox
(1) Click [Tools]> [Option]> [Content] tab.
(2) Uncheck the “Block pop-up windows” option.

2. Aren’t you using unsupported OS or Browser?
The operation of Editorial Manager is guaranteed under the system environment below;
[Browsers] ・ Internet Explorer 9.0 and later
・ Firefox the latest version
・ Safari the latest version *Macintosh only
・ Google Chrome  the latest version

3. Isn’t it blocked by security software or a firewall?
Please check the setting of the security software or the firewall you are using.

Q : I cannot view the manuscript PDF file.
A : If you cannot download the PDF file (submission file), please check the following.

1. Is Adobe Acrobat Reader already installed?
If it isn’t installed yet, please download and install it from the Adobe Homepage
(http://www.adobe.com/).

2. Is Adobe Acrobat Reader you have the latest version?

If you use an old version, you may be not able to open a file. Check the latest version on the Adobe Homepage and install it.

3. Does Adobe Acrobat Reader you have start normally?
If it doesn’t start normally, your PC may have memory shortage. It may not start normally if you are running a lot of applications at the same time. Please quit all applications and restart your computer, and then start Acrobat Reader again.
If it still doesn’t start after you tried the above, the installation of the program might have failed somehow or the program may be broken. Please uninstall the program and install it again.

4. If you still cannot open the file even you have tried the above 1-3.
There is a possibility that the file you downloaded itself is broken. Please login to Editorial Manager again and download the file again. At that time, please save the file to your PC before you open it.

Q : Being disturbed by the error screen during some operations within EM.
A : There is a possibility that an error page appears because of a communication error within EM system.

In this case, please try the same action over again and you will then be able to opperate without any disturbance by the error screen.

In case that redoing the action doesn’t stop the error page from coming up, it is likely that the error page is cached in the browser. Please clear the cache before you try again.

Q : A letter isn’t delivered to the recipient.
A : If you are notified that a letter isn’t delivered to a recipient, please check with the recipient for the followings.

1. Didn’t you register a wrong e-mail address?
If so, plaese register the correct one.

2. Are you using auto filtering in your mail software?
If you are using auto filtering in the mail software, there is a possibility that a letter is distributed to an unexpected folder. Please search with the subject of the letter in your mail box.

3. Isn’t the mailer mistakenly filtering the mail as a spam?
In case you are using anti-spam software, when a letter you received contains a word with which the letter is marked as a spam, the letter is filtered as a spam and distributed to a folder for spams.
Please check the folders for spams.
If a letter is filtered as a spam, please change the setting of anti-spam of your mail software or contact the network manager or IT department.

If a letter contains words with which the letter is marked as a spam according to the setting of the recipient’s mail server, the letter is filtered as a spam and does not get to the recipient.
Please contact the network manager or IT department.

The mail may be recognized as a spam if there is a difference between the e-mail address described in the header information and the e-mail addresses of Sender or Return-Path.
Please check the following for normal mail header for letters send out from EM system.

Please check the settings of your mailing soft. Otherwise, please ask the network administrator of the mail server and execute either of the following;

4. Does the mailbox have enough capacity?
If the mail exceeds the capacity limit set to the receiving mail server, the mail may be rejected by the mail server.
Please contact the network manager or IT department.

Q : An e-mail is garbled.
A : If an e-mail you received is garbled, please check the followings.

1. Are you using UTF-8-capable mail software?
The character code of letters sent by Editorial Manager is UTF-8.
Some mail softwares are not capable of UTF-8 and display garbled characters.
Please use UTF-8 capable mail software.

2. Are you using Microsoft Outlook?
Microsoft Outlook2007 can configure the personal folder file of recipient in old and new format. If the old style is set, messages on UTF-8 are garbled.

The PST available in Outlook 2007
New style: Unicode PST
Old style: ANSI PST

You may check the PST settings by the steps below;
(1) Right-click [Personal Folder] at the top of [Mail Folder].
(2) Select [Property of “Personal Folder”].

If the style of Personal Folder is “Personal Folder file (97-2002)”, that means it is set to the old format. Please create new Personal Folder of the new style following the steps below;

(1) Click [File] – [Data File Management] (2) Select the “Data Files” tab and click “Add…” button
(3) Click “Office Outlook Personal Folders File (.pst)” and click OK
(4) Type the desired name of the Personal Folder file and click OK
(5) Type the desired name in the “Name” field and click OK
(6) Confirm the new added personal file is selected and click the [Set as Default] button
(7) Click OK
(8) Re-launch Outlook

The garbling of the messages you received in old
format cannot be fixed by only copying them into the new added folder. After copying the messages, please operate as follows;
(1) Open the garbled message
(2) Click “Other actions” – “Encoding” -“Western European (Windows)”
(3)Click “Other actions” – “Encoding -[Unicode (UTF-8)] “
(4) Overwrite the message

Q : Can I use Editorial Manager for call for abstracts of academic meetings?
A : You may call for, examin and review abstracts for academic meetings by Editorial Manager.
There are two ways for that;

1. Call for both submissions to journal and abstracts for academic meeting using a single journal system.
You may call for abstracts for academic meetings as well as normal paper submissions by one site.
Setting both Article Types for normal submissions and those for abstract for academic meetings, you may have authors choose the Article Type for abstracts for academic meeting.
(Otherwise, you may also use Section & Category screen for that purpose.)
Off course, you may convey the abstracts for academic meeting into the editorial system for peer-review along with the normal manuscript for journal.

2. Run a dedicated site for academic meeting
Aside from journal article submission site, you may run a dedicated site for academic meetings.
The difference from the above measure “1” are that you may use the different lists of Editors or Reviewers from those of the journal article submission site.
Also, you may display the unique header and title of the academic meeting on the top page, apart from the journal’s one.
